Our client needed a better way to process their constantly growing collection of unorganized MTR files.

Material Test Reports (MTRs) are a necessity for many manufacturers. They are especially essential to the fastener industry and yet their management is rarely standardized. Our client had a directory of 60k+ PDFs with more coming in every day, without a defined procedure to keep them organized. This made it a frustrating and time-consuming task for their employees to process the reports, causing packing delays and repeated slow-downs.

Harvester Tool

The first step was getting the reports into a format that could be sorted and processed. We developed a harvester tool that scans files and compares them against predefined criteria. All matches are automatically connected to packing lists via document links in P21. Any unmatched MTRs are pulled into a portal for manual review, sorting, and assignment. The harvester runs continually, helping to keep new MTRs organized and prevent pile-ups.

Portal Screen

The Portal Screen displays a real time overview of the sorting and matching progress. The on-screen PDF viewer helps make matching candidates with the correct MTR quick and painless. This empowered the team to access an enormous collection of abstract files and efficiently sort them into clear and connected data.

MTR Traceability

The app’s audit trail ensures accountability with a detailed event log. The team can see all activity as they select MTRs and attempt to match them with lots within Prophet 21. If a user can’t find a match for the MTR, they can surrender it or unassign it from their own work. The audit trail maintains a log of their attempts and includes a note feature.

Document Links Integration

Our application integrates seamlessly with Prophet 21 document links. The MTRs are automatically attached to a lot, making them easy to find and readily available to send with packing slips. No more digging through an unorganized directory.
