In today’s video, we’ll discuss creating job contracts and cover which Customer Maintenance settings you need to enable to effectively use contracts for a customer in Prophet 21.

Start by opening the Customer Maintenance window, specifically the sales pricing tab.

This tab should be very familiar if you’ve watched our videos on pricing libraries.

Choosing Your Job Contract Settings

All the checkboxes on this tab are related to using job contracts.

The minimum requirement to enable job contracts for this customer is to select the Job/Contract Pricing box.

Always Use Job/Contract Pricing requires you to enter the contract number each time you place an order for this customer. There will be a designated box for the number, and it can only have one contract that automatically defaults for a customer. If there are multiple contracts, you’ll have to click and select the right one.

You can also choose Allow Non-Job/Contract Items on Order which means even if the item is not on a contract that you are using, you can still add the item to a sales order. Their pricing will be based on the other pricing methods in your libraries.

The next setting allows you to Prompt User for Non-Job/Contract Items. I would not recommend this setting as it would get incredibly annoying.

Cumulative Qty May Exceed Job/Contract Qty. If a job contract includes a discount for a specific quantity, this checkbox allows purchases beyond that quantity. For instance, if you have a job contract that says a customer only gets this discount for a hundred times they purchase something, and you have this check box enabled, it would allow them to purchase over that quantity.

The final checkbox is Use All Contracts. You won’t have to select one specific contract when it is enabled. Prophet 21 will allow you to pull items from various contracts. If you do not have this enabled, and you need to use multiple contracts, you will have to enter the job contract number manually. I recommend most most people use All Contracts.

Note about managing multiple job contracts:

If the same item is on multiple contracts, Prophet 21 will show both contract lines, and you will have to select the appropriate one. Because of that, it is best to keep an item on a single contract.

Interaction with Pricing Libraries:

In this example, the customer is set to use Pricing Libraries. In that case, the system first checks if the item is on a contract for the customer and ship-to. If not, P21 will ignore contracts and use the normal sales price library you set up for that customer.
