In this tutorial, we are reviewing customer pricing within Prophet 21, focusing on the sales price book and library combination. If you’ve been following along, we talked about the sales price page in our previous video. Today, we’ll dive into creating a book in the pricing library and applying those created pages.

Understanding Price Book Maintenance

The first screen we look at is the Price Book Maintenance screen. Technically, you can come to this screen to create the book before you create the library, but it’s not required. Instead, I recommend creating the book and applying pages within the library. The same theory applies to both screens, specifically for adding pages, so next, start by pulling up the Price Library Maintenance screen.

  • Price Library ID: This isn’t a simple sequential number like the price page. Make sure you name it something significant for your team to remember. For instance, “TEST 4” can serve as an ID, with “TEST 4” as its description.
  • Type: Choosing your type for the library is important. If you want to use books and pages, it can be any of the choices, except for multiplier. Multiplier applies very similarly to how it does in price pages where you pick a source and multiplier method. But what we are focusing on in this tutorial is the non-multiplier version.

If you have multiple books with multiple pages affecting the same item in this book or library, Type tells P21 which one to pull pricing from.

    • First Of: Chooses the first item the system finds as the price to use.
    • Highest Of: Chooses the highest price the system finds in the Pricing Books.
    • Lowest Of: Chooses the lowest price the system finds in the Pricing Books.
    • Newest Of: Chooses the price from the pricing page with the newest Effective Date.
    • Oldest Of: Chooses the price from the pricing page with the oldest Effective Date.

Essentially, you are telling the system which one to pick if the item that you are entering on the order has multiple options.

  • Row Status: The status setting determines if the library is usable for customers. Active is whether you can use it for a customer or not. Delete and Inactive are very similar functions. They just mean you will not be able to apply it to customers.
  • Library on Contract: Library on contract comes into play if you are doing cost with vendor rebates. This isn’t something we will focus on much in today’s tutorial.

Sequencing and Sales Price Book Management

At the bottom of the page, you’ll find the Price Book screen. Sequence is where you can add a bunch of different books. You do not have to have just one book in one library because you cannot put pages directly into a library. You have to put pages into a book and then you can put books into libraries. A book can be in multiple libraries and a library can have multiple books.

Creating and Applying Pages to Books

  • Hit the + button to add a new Price Book. In this example, we call it TEST 4. Note that this is the same thing as if you were trying to create a book in the actual price book maintenance screen. 
  • Next, go to the Price Page tab. Again, it is very similar to the price page tab at the bottom of Price Book Maintenance. And you will see it does tell you which book the page will go in. You can also search for a page that you want to add in there.

Note: The expiration date and the effective date get pulled over from the price page. So there is no interaction there. Now you can also delete a page out of a book if you want. If you delete it from a book and hit save, it will not be there anymore.

But that is it. That is creating a library in a sales price book and applying the pages to the book within that library in Prophet 21. All you have to do is hit save and at that point, you can use that on a customer, which I will cover in another video.
