Today’s video reviews the page book library system within Prophet 21, specifically, the basics of the sales price page. I say basics because there are many different functions within this page, but I want to give you the most common ways to set up, play with tests, and understand how pages work within this P21 window.

 

Setting Up Your Price Page

When you set up a new price page in P21, the system automatically generates a Page ID number. That number is created as the next sequential number when you save a new page. You have to enter a Description for the price page, but you can edit it later. It does not have to stay as whatever you initially entered.

Choosing Your Price Type

The first significant decision on this page is choosing the price type.

You can choose to enter by item, product group, or several other choices. For instance, opting for a supplier-centric approach means any item affiliated with that supplier aligns with the pricing from this page.

In this example, we chose Supplier. So any item that is assigned to a supplier that I am applying this price page to will be eligible for the pricing from this page.

Reviewing Key Fields

The following are some of the key fields in the Sales Pricing tab of the Sales Price Page Maintenance screen in Prophet 21:

While we won’t go into depth on most of them, we do make some notes on the most important ones for you to understand.

Calculator Type: You can choose to calculate the Price, Cost, or Both. In our example, we chose price because this is focusing on a sales price page.

Effective & Expiration Date: Effective Date is when P21 will start using the record and Expiration Date is when it will stop displaying or using it.

Pricing Method: Pricing Method is what you will use to base your pricing on. You can choose either Price or Source. Since we are doing a supplier in our example, I don’t necessarily just want to put in a hard price, so we chose Source. Note: One functionality of Price could be creating a price page for a single item for a special price that you don’t have anywhere else in the system.

Source Price: There are several options to choose as your source, but in our example, we chose Average Cost. We will mark up from the average cost or increase it with a multiplier.

Totaling Method & Basis: Totaling Method and Basis determine how items can be combined in a sales order to potentially change pricing. The most common totaling method is Item and the most common totaling basis is Sales Unit. This way focuses on just the line of a single item and avoids more complicated combinations.

Status: You can set the status as either Active or Delete. If you choose Delete, it won’t remove it completely from the system. Instead, it functions more like an inactive than an actual delete.

Supplier: In this example, since we put the price type as Supplier, we must also enter a Supplier ID.

Apply to Manufacturer Rep Orders: This setting allows you to use this on manufacturer rep orders if you do those. Choose from Yes, Only (meaning that they can only be used on those orders), or No (meaning you can’t use them on anything related to manufacturer rep orders).

Other Tabs in Sales Price Page Maintenance

After you have your main pricing page details set, there are a few tabs at the top of the page that are important to understand.

Values: This tab is a very important part of the sales pricing window. In our example, we have our calculation method set as Multiplier. The most common calculation method used in Prophet 21 is Multiplier. Because of that, I like to stick with it so I don’t get confused when I am looking at the numbers.

Multiplier and Percentage work very similarly. If you doing a percentage and want to increase it by thirty-five percent over the source average cost, enter .35. When you use Multiplier as the calculation method, it would be 1.35. That takes the full average cost and adds thirty-five percent to it.

Used By: Use By is another useful tab.

It will tell you every book in the library that this page exists in. It will tell you its status, name, and description.

Location: Location is useful if you want to create specific price pages that are only active at a certain location. So when you enter a location in this tab for different suppliers or groups, it will only be available in that location.
